1. Who we are

Career Confidence Co is a career coaching business operated by The Trustee for Her Career Confidence Collective Trust (ABN 45 406 136 441), based on the Sunshine Coast, Queensland ("Career Confidence Co", "we", "us", "our").

We help professionals land roles, negotiate better pay and build long-term career strategy. To do that well, we need to collect and use some personal information. This policy explains what we collect, why, who we share it with, and how you can access or correct it.

We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2. What personal information we collect

Depending on how you interact with us, we may collect:

  • Contact details: name, email address, phone number, location/city.
  • Career information: current or recent job title, employer, industry, salary range or salary goals, employment status (for example, if you've been made redundant), career goals and challenges.
  • Lead and enquiry information: answers you give in forms, including Instagram and Facebook lead forms, website forms, quizzes and booking forms.
  • Client program information: your resume, LinkedIn profile, cover letters, job applications, interview notes, coaching session notes, session recordings and transcripts, messages you send us, and homework or exercises you complete.
  • Payment information: billing details and transaction history. Card details are processed by our payment provider; we don't store your full card number.
  • Event information: registration details and dietary or accessibility requirements for workshops, masterclasses and events.
  • Testimonials and outcomes: feedback, reviews, and career wins you choose to share (such as a new role or salary increase).
  • Technical and usage information: IP address, browser and device type, pages visited, and information collected through cookies, pixels and similar tools (see section 9).

Sensitive information

We don't ask for sensitive information (such as health information) and you don't need to provide it. Sometimes clients choose to share things during coaching, for example about their wellbeing, a health condition, or personal circumstances affecting their career. If you share this, we'll only use it to support your coaching, with your consent, and we'll treat it with extra care.

3. How we collect it

We collect personal information directly from you when you:

  • fill in a lead form on Instagram or Facebook (Meta Instant Forms)
  • fill in a form or opt-in on our website or landing pages
  • book a strategy call or coaching session
  • register for a masterclass, workshop or event
  • purchase or join one of our programs
  • message us via email, social media, Slack or our online platforms
  • take part in coaching sessions (which may be recorded with your knowledge)

We may also collect information from third parties, such as Meta (when you submit a lead form), or a referrer who passes on your details with your permission. If we receive information about you that we didn't ask for, we'll deal with it under the Privacy Act, which may mean destroying or de-identifying it.

You can deal with us anonymously or using a pseudonym where it's practical (for example, general enquiries). We can't coach you or deliver a program anonymously.

4. Why we collect and use it

We use your personal information to:

  • respond to your enquiry and contact you about booking a free strategy call
  • assess whether our programs are the right fit for you
  • deliver coaching, resume writing, interview preparation and program resources
  • manage bookings, payments and your client account
  • send you program updates, reminders and support messages
  • send you marketing about our programs, events and free resources (you can opt out any time, see section 7)
  • improve our programs, content and client experience, including using de-identified or aggregated client outcome data (for example, average salary increases)
  • run, measure and improve our advertising, including on Instagram and Facebook
  • comply with our legal obligations and resolve disputes

We won't use your information for a purpose you wouldn't reasonably expect without your consent, unless the law allows or requires it.

5. Instagram and Facebook lead forms

If you submit a lead form through one of our Instagram or Facebook ads:

  • the information you enter (such as your name, email, phone number and answers to our questions) is shared with Career Confidence Co
  • we use it to contact you about the offer in the ad, including to book a free strategy call, and to send you related information about our programs
  • it's transferred into our customer relationship management (CRM) system so our team can follow up
  • Meta also processes this information under its own privacy policy, available at facebook.com/privacy/policy

Our ads and lead forms are intended for people aged 18 and over.

6. Who we share it with

We don't sell your personal information.

We share it only as needed to run our business and deliver our services, including with:

  • Our team: coaches, client success, client advisors and contractors, who are bound by confidentiality obligations.
  • Service providers we use to run our business, including Meta (Instagram and Facebook) for advertising and lead forms; Go High Level for CRM, bookings, email and SMS; Kajabi for our program platform, client resources and payments; Squarespace for our website and landing pages; Klaviyo for marketing emails; Slack for client communication and community; Zoom and Google Meet for video sessions; Fathom for session recording and transcription; Google Workspace for email, documents and file storage; Stripe for payment processing; and AI tools to help draft resumes, session summaries and resources (see section 8).
  • Our marketing and advertising partners, such as agencies that manage our paid ads and email campaigns, to the extent needed for that work.
  • Professional advisers, such as accountants, lawyers and insurers.
  • Authorities, where required or authorised by law.

We require our service providers to protect your information and only use it to provide services to us.

Testimonials and client wins

We love celebrating client wins. We will not publish your name, photo, testimonial or identifiable story without your permission. We may share de-identified wins (for example, "a marketing manager landed a role with a $30k pay rise") and aggregated statistics.

7. Marketing and opting out

We may send you marketing by email, SMS or social media if you've opted in, or where the law otherwise permits it. Every marketing email and SMS includes a simple way to unsubscribe. You can also opt out any time by emailing hello@careerconfidenceco.au.

Opting out of marketing won't stop service messages about a program you've purchased.

8. AI and automated decision-making

We use AI tools to support our team, for example to help draft resumes, summarise coaching sessions and prepare client resources. A real person on our team reviews this work.

We don't make decisions that significantly affect your rights or interests solely using automated systems. Advertising platforms such as Meta use automated systems to decide which ads are shown to whom; this is handled under Meta's own policies. Our ad platforms and CRM may also automatically sort or tag enquiries (for example, based on your form answers) so the right team member follows up. A person still decides whether we can help you.

9. Cookies, pixels and tracking

Our website and landing pages use cookies and similar technologies, including the Meta Pixel and Google tools, to:

  • make the site work and remember your preferences
  • understand how visitors use our site
  • measure how our ads perform and show relevant ads to people who've visited our site or engaged with us

We may also share hashed (scrambled) contact details with Meta to create advertising audiences or measure results.

You can control cookies in your browser settings, and manage ad preferences in your Meta and Google account settings. Blocking cookies may affect how some parts of our site work.

10. Storing information overseas

Some of our service providers store or process information outside Australia, mainly in the United States, and potentially in other countries where they or their sub-processors operate (such as Canada, the United Kingdom, the European Union and Ireland). We take reasonable steps to make sure these providers handle your information in a way that's consistent with the Australian Privacy Principles.

11. How we keep it secure

We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access, change or disclosure. This includes:

  • using reputable platforms with security controls such as encryption and two-factor authentication
  • limiting access to team members who need it for their role
  • confidentiality obligations for our team and contractors

We keep personal information only as long as we need it for the purposes in this policy, or as required by law (for example, tax records). After that, we take reasonable steps to delete or de-identify it.

If a data breach is likely to cause you serious harm, we'll notify you and the Office of the Australian Information Commissioner (OAIC) as required by the Notifiable Data Breaches scheme.

No online system is 100% secure, so please let us know straight away if you think your information has been compromised.

12. Accessing and correcting your information

You can ask to see the personal information we hold about you, or ask us to correct it, by contacting us (section 14). We'll respond within a reasonable time, usually within 30 days. We won't charge you to make a request, though we may charge a reasonable fee to provide access in some cases. If we refuse a request, we'll tell you why in writing and how to complain.

13. Complaints

If you're concerned about how we've handled your personal information, please contact us first (section 14) and tell us what happened. We'll take it seriously and aim to respond within 30 days.

If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.
